This help describes the current test version. Store availability and individual controls may differ by build.
Getting started
Where should I start?
These instructions cover the current ProBos test release. Start with your business details, then add a client and a project.
- Open Settings → Business profile and review your business details and time zone.
- Open Clients, tap + and save your first client.
- Open Calendar, choose a date and tap New project.
How do I change the language or currency?
Open Settings → Language and choose English, Russian or Spanish (Mexico). English is the starting language; your saved choice is kept.
The current release supports US dollars (USD) only. Changing the language does not change the currency or convert amounts. Estimates and invoices also have a separate Document language field.
What is Demo mode?
Demo mode provides sample clients, projects and finances in a separate workspace. Its records are examples, not your business records.
Open Settings → Data export & backup center → Load demo data to explore it. Tap Turn off in the Demo mode banner to return to your own workspace. Turn Demo mode off before creating or restoring a real backup.
Clients, calendar and reminders
How do I add or edit a client?
A client name is required. You can add contact details, an address and notes as needed.
- Open Clients and tap +.
- Enter the client’s details and tap Save client.
- To make changes, open the client, tap Edit client, then Save changes.
How do I put a project on the calendar?
Select a day to see its full reminders and projects lists below the calendar. +N means that more entries exist for that day.
- Select the date and tap New project.
- Choose a saved client and enter the project title, work items, quantities and prices.
- Review the date, start time and sales tax rate, then tap Create active project.
How do I create or change a reminder?
Reminder times use the business time zone shown in the form. A saved reminder and a delivered phone notification are different: delivery also depends on your phone’s settings.
- In Calendar, choose the day and tap New reminder.
- Enter a title, date and time; add a note if needed, then tap Save.
- Tap an existing reminder to edit and save it, Mark completed, Reopen or Delete reminder.
Estimates, invoices and PDFs
How do I create and send an estimate?
Check the client’s details, document language and totals before sharing.
- Open Estimates, tap +, choose or enter the client and add the work items, prices and terms.
- Review the tax, discount and optional items, then tap Create estimate.
- Open the saved estimate and use Preview to review it. Tap Send estimate to open the system sharing options, or Email PDF to prepare an email with the attachment.
- Choose the recipient and complete the sending action in your mail or messaging app.
How do I create and send an invoice?
A new invoice becomes available after the project is completed. Recording a payment is a separate action.
- Open the completed project and tap Generate invoice.
- Review the invoice. Use Edit invoice if its details need changing.
- Tap Export invoice PDF to save or share the PDF. To use email, confirm that the invoice contains the client’s email address and tap Email PDF to client.
- Review the attachment and recipient, then send from the mail app.
Does “Sent” mean the client received the document?
No. The document status is a workflow record, not delivery confirmation. With Send estimate, closing the system sharing menu can still leave the estimate marked Sent, even if you cancelled.
Check the chosen mail or messaging app to see whether sending completed. Saving an email draft, cancelling or seeing an error does not establish delivery. Confirm receipt with the client when needed.
Payments and reports
How do I record a payment or deposit?
Record money only when it has actually been received. The receipt date determines the report period, including for deposits.
- Open the project and go to Payments → Record new money received.
- Enter the actual receipt date and amount, choose Payment or Deposit and the payment method.
- Tap Record. If saving fails, use the retry action on the same form.
How do I handle old payments, refunds or mistakes?
An old amount marked paid without dated payment entries is excluded from period totals. Use Date an existing historical payment in the project to assign its actual receipt dates without adding the money again.
In the project’s Refund or correct a receipt section, select the original receipt and choose Refund, Reverse error or Correct amount / date. Enter the required amount, date and reason, then Confirm entry. Original entries are retained; refunds use their actual dates and corrections can revise earlier reports.
What is included in reports, and how do I export one?
Reports use dated payments, including deposits, with refunds and corrections applied. Finishing a project or creating an invoice does not itself record money received. Expenses follow their expense dates; unconfirmed recurring payments are excluded.
Estimated sales tax is an informational calculation, not a confirmed tax amount due. Review the figures and supporting records with your accountant.
- Open Reports and select the month you want to review.
- Open Report for Accountant and check the selected period, payments, expenses and any warnings.
- Choose Export report PDF or Export report CSV, then save or share the file with the intended recipient.
Receipt photos and manual entry
How do I add a receipt with Snap?
After you take or choose a photo, ProBos reads the receipt on your device and suggests the amount, vendor and tax line. The photo is not sent anywhere. If nothing is recognized, enter the details manually. Taking a photo alone does not save an expense.
- Open the client and use the receipt camera action. If asked, choose the scheduled or in-progress project.
- Take a photo or select one from your library, then wait a moment while the receipt is read.
- Check the vendor, purchase date, city, category and final total in USD against the receipt. Select the sales tax treatment shown on the receipt.
- Tap Save receipt. If saving fails, retry the same draft.
What should I check before saving a receipt?
Compare every field with the receipt, including any suggested values. Enter the final amount paid; do not add sales tax to that total a second time. A zero or missing tax line needs your review, and recognition does not establish a tax exemption.
Allow camera access if you want to take a photo. If it is blocked, change the permission in your phone’s settings or choose an existing photo. Recognition runs on your device; the photo is not sent anywhere.
Backup and restore
How do I protect my data before an update or a device change?
Create a backup before an update, a device change or any troubleshooting that could remove app data. Do not delete ProBos unless you have a usable backup saved outside the app. A report PDF or CSV is not a full workspace backup.
- On your iPhone or Android device, turn Demo mode off and open Settings → Data export & backup center.
- Tap Create backup, then use the system sharing menu to save the .cfbackup file in a private location outside ProBos.
- Check that the file is present in the location you selected. Cancelling the sharing menu does not save your backup there.
Is the exported backup encrypted?
No. ProBos exports the .cfbackup file without encryption or password protection. It can contain client contact details, financial records, settings and locally stored receipt and project photos.
Keep a copy in a private location you control, separate from the app, and share it only with authorized people. Do not attach a full backup to an ordinary support email.
How do I restore a backup or undo a restore?
Restoring replaces the current workspace; it does not merge the two. Create a separate backup of your current data first. If the backup cannot be read safely, keep the original file and contact support.
Undo last restore appears when ProBos has a saved copy of the previous workspace. It replaces the restored workspace with that previous copy, including replacing changes made after the restore. It is not a substitute for an external backup.
- Turn Demo mode off and open Settings → Data export & backup center → Restore backup.
- Select the ProBos .cfbackup file, review the summary and confirm only if you want to replace the current workspace.
- Check your records and future reminders after restoration. To go back, use Undo last restore if it is available and confirm the replacement.
Privacy and your data
Where is my data stored? Is cloud sync available?
The current test release stores your workspace, settings and saved photos locally on your device. ProBos works without an account, and there is no cloud backup or synchronization between devices.
Use the local backup feature, and keep your device backup turned on. Documents or backups you choose to share go to the app or destination you select.
How do I ask a privacy or data question?
Email support@probos.app and describe your question or request about access, correction or deletion. State whether it concerns information on your device or information you sent to support.
Support does not automatically have access to your local workspace. Start with a description; do not send client records, receipt photos, passwords or a backup file. ProBos is operated by Anvar Mekhraliyev in the United States.
Troubleshooting and contacting support
The keyboard covers a field. What can I try?
Scroll the form to bring the field into view. Use Done above the keyboard when available; on Android you can also use the system Back action to close it.
If the problem continues, tell support which screen and field are affected, your phone model, OS version, app version and build, and whether a larger text size is enabled. A screenshot with private details hidden can help.
My reminder is saved, but no notification arrived.
Check Settings → Notifications in ProBos and the notification permission for ProBos in your phone’s settings. Also check the reminder date, time and business time zone, along with Focus, silent mode and notification sound settings.
Return to ProBos after changing permissions so it can refresh scheduled notifications. Open the app regularly to refresh the upcoming queue. The current test release does not guarantee background delivery of every reminder.
A PDF will not send. What should I send to support?
Check the document’s dates and details, free storage and mail setup, then try again. If email is unavailable, use Send estimate or Export invoice PDF to choose another sharing destination. Check the destination app before sending a duplicate.
If an error identifies an unreadable logo, select the logo again in estimate settings. Use Send without logo only if that option is shown and you want to omit it from that PDF.

Hide private details in screenshots. Do not send passwords, payment details, client files, receipt photos or full backups with the initial request.

Privacy & data requests
For access, correction or deletion of information held by ProBos, email us with the subject “ProBos privacy request”. Device-only records cannot be erased remotely. Exported copies need to be managed where you saved or sent them.
